Home Visit Coordinator

Purpose

The Home Visit Coordinator manages the home visit portion of the dog adoption process. The coordinator serves as the point person between the Dog Adoption Team, prospective adopters, and home visit volunteers to ensure home visits are scheduled, completed, and reported back in a timely manner.

Responsibilities

Receive Home Visit Requests

  • Receive requests from the Dog Adoption Team when an applicant is ready to move forward with a home visit.
  • Review the information provided, including the applicant’s name, contact information, address, and dog they are interested in adopting.

Coordinate the Home Visit

  • Contact the prospective adopter to introduce yourself and obtain availability for the home visit.
  • Identify an available home visit volunteer based on location and availability.
  • Provide the volunteer with the applicant’s contact information, address, and the TMHPR Home Visit Checklist.
  • The Home Visit Coordinator may also conduct home visits when available but is not expected to personally complete every visit.

Follow Through and Communicate

  • Make sure the home visit is scheduled and completed in a timely manner so the adoption process is not unnecessarily delayed.
  • Receive the completed checklist and any observations or concerns from the home visit volunteer.
  • Communicate the results of the home visit back to the Dog Adoption Team.
  • Promptly flag any concerns or unusual circumstances for the Dog Adoption Team to review.

The Home Visit Coordinator and home visit volunteer do not make the final decision to approve or deny an adoption. Their role is to provide the Dog Adoption Team with information and observations from the home visit to assist with the adoption decision.

Maintain Home Visit Volunteers

  • Maintain a current list of volunteers willing to conduct home visits.
  • When possible, keep track of the general geographic areas volunteers are willing to cover.
  • Help identify additional home visit volunteers when coverage is needed.

Suggested Timing

Because the home visit generally occurs near the end of the adoption process, timely communication is important. The prospective adopter should ideally be contacted within 24–48 hours of receiving the home visit request, with the visit scheduled as soon as reasonably possible based on the adopter’s and volunteer’s availability.

Ideal Volunteer

The Home Visit Coordinator should be organized, responsive, comfortable communicating with prospective adopters and volunteers, and able to follow an adoption through this step of the process. Familiarity with TMHPR’s dog adoption process is helpful, but training and guidance can be provided.
